How to send in 3 steps

1.
Prepare your mail

 

Via the My bpost app

Open the app and tap “registered mail” from the list of products that can be sent. Select the format of your mail item and any extra options, and fill out your sender details and the addressee’s details.

Via the shipping tool

Choose “ Registered Mail ”. Select the format of your mail item and create an account or sign in.

2.
Print and affix

 

Complete your order to receive your shipping label in the app and by email. Print your label or pop along to the Post Office or a Post Point to have it printed there and affix it to the envelope as per the instructions.

3.
Post and track your mail

 

Post your registered mail at a Post Office, a Post Point or in a Red Letterbox (check the collection times). Track your mail item automatically in the app.

Go to Track & Trace or use the My bpost app to track your mail. Enter the alphanumerical part of the barcode of your mail item. You’ll find this on the proof of receipt or your till receipt. If you created a shipping label, you can track your registered mail item in the My bpost app.

What does a barcode look like and where can I find it?

The following barcodes are used for registered mail:

  • 30 digits for national registered mail, starting with 010 (e.g. 010541288500452621221234567890)

  • 23 characters for a label created online

     

  • 13 characters for international registered mail, starting with R (e.g. RA123456789FR)

Can I follow my registered mail online once it leaves Belgium?

You can follow your registered mail online once it leaves Belgium for:

  • all EU countries except Spain, Romania and Bulgaria
  • Albania, Armenia, Aruba, Bhutan, Brazil, China, Colombia, Curaçao, Dominican Republic, Egypt, Eswatini, Georgia, Gibraltar, Honduras, Hong Kong, Iceland, Indonesia, Japan, Jersey, Jordan, Cayman Islands, Kiribati, Lebanon, Macao, Malesia, Mexico, New Zeeland, Peru, Russia, Singapore.

When will my registered mail be delivered?

Registered mail is delivered to addresses in Belgium the next working day.

If the addressee has a bpost account and we know their email address, we’ll send them a heads-up of the incoming registered mail by email and in the app. We don’t state the sender’s name for privacy reasons.

bpost does all it can to deliver registered mail on the next workday. If you notice with Track & Trace that the registered mail you sent is in transit for longer, please let us know via our online form.

The price of registered mail depends on the following factors:

  • weight
  • size
  • type of registered mail
    • domestic or international
    • with or without proof of delivery
    • with or without customised insurance

When delivering registered mail and parcels, our postmen are required to ring the doorbell and wait a minimal time. Unfortunately, you might find a failed delivery notice in your letterbox even though you were home. You can file a complaint about this. Keep your failed delivery notice handy because you will need it to complete the form.

Registered Mail offers you extra certainty. The following table shows you the difference between both types of mail.

Difference between regular mail and Registered Mail

Choose standard registered mail if you want to prove that your item or letter was sent, without any dispute concerning the destination.

You can affix a proof of receipt when you want formal written proof that the addressee has taken receipt of your mail item. The addressee must give their name and sign and date a document at the time of delivery. You will receive this proof for your peace of mind.

In the event of a dispute a proof of receipt is deemed legally valid. You can affix a proof of receipt to these mail items:

  • Official, confidential, original documents
  • Notices to cancel a lease, insurance, an energy contract and so on
  • Documents related to insurance and phone contracts and so on
  • Official correspondence with your employer
  • Documents related to a dispute, your health or documents of value to you

In some cases proof of receipt is required by law. Ask at your local Post Office or Post Point, or via the My bpost app.
