Prepare your mail

Open the app and tap “registered mail” from the list of products that can be sent. Select the format of your mail item and proof of receipt as extra option, and fill out your sender details and the addressee’s details. 

2.
Print and affix

Complete your order to receive your shipping label in the app and by email. Print your label or pop along to the Post Office to have it printed there and affix it to the envelope as per the instructions 

3.
Post and track your mail

Post your registered mail at a Post Office, a Post Point or in a Red Letterbox (check the collection times). Track your mail item automatically in the app.

4.
Receive digital proof of receipt

You’ll receive this proof of receipt in the app as soon as the addressee has signed for your registered mail item.

If the addressee is not home, a failed delivery notice is left behind by the postman. The addressee has 15 calendar days to pick up your registered mail with confirmation of receipt (in the Post Office or Post Point mentioned on the failed delivery notice).

If the addressee does not pick up your mail within 15 calendar days, it will be sent back to you. Make sure that your name and address are clearly written on your shipment.

When proof of receipt is required, the receiver must give their name and sign for the mail item at the time of delivery. That gives you peace of mind that the mail item you have sent has been delivered to the right person. The proof of receipt is a legally valid document in the event of a dispute about receipt.

How you receive the signed proof of receipt depends on where the registered mail was created.

  • At a Post Office or Post Point

    The receiver must write their name on a paper document, which must then be signed and dated. You receive this proof of receipt in your letterbox.

  • In the My bpost app

    The receiver must write their name on a digital document, which must then be signed and dated. You receive this proof of receipt in the My bpost app.

You can request proof of receipt for registered mail in two ways:

  • In the My bpost app
  • At a Post Office or Post Point

Requesting proof of receipt in the My bpost app

Follow these steps:

  • Open the app and tap “registered mail” from the list of products that can be sent.
  • From the options select “digital acknowledgement of receipt”.
  • Confirm your order to request proof of receipt.
  • Once your registered mail has been delivered you will see the signed proof of receipt in the app.

Requesting proof of receipt at a Post Office or Post Point

Follow these steps:

  • Go to a Post Office or Post Point and ask for both a proof of deposit and a proof of receipt.
  • Fill out both forms.
  • Check the proof of receipt box on the barcode label and the proof of deposit.
  • Affix the proof of receipt to the back of the mail item by folding over one of the self-adhesive strips on the front of the mail item.
  • Drop off your mail item with the proof of deposit and proof of receipt at a Post Office or Post Point.
  • Once your registered mail has been delivered you will receive the signed proof of receipt in your letterbox.

You can affix a proof of receipt when you want formal written proof that the addressee has taken receipt of your mail item. The addressee must give their name and sign and date a document at the time of delivery. You will receive this proof for your peace of mind.

In the event of a dispute a proof of receipt is deemed legally valid. You can affix a proof of receipt to these mail items:

  • Official, confidential, original documents
  • Notices to cancel a lease, insurance, an energy contract and so on
  • Documents related to insurance and phone contracts and so on
  • Official correspondence with your employer
  • Documents related to a dispute, your health or documents of value to you

In some cases proof of receipt is required by law. Ask at your local Post Office or Post Point, or via the My bpost app.
