Last June 17th, The Belgian Post announced the change of its name in bpost.
speos, as a subsidiary of The Belgian Post, will keep its name, but will adopt a new logo.

19/05/2010 - Return Mail: Optimize your non delivered mail

On regular bases, every enterprise is confronted with the non-delivery of its letters, due to the input of a false address, to a move or a death...
For this reason, speos launched a new service, Return Mail, which helps you to optimize the handling of these non delivered letters.
In very short, in stead of returning the mailbag at your offices, it is deposited in a speos PO Box. The processing takes place at speos and you receive a file containing all the details of your non delivered mail in order to enable you to treat this information rapidly and efficiently.

In a more and more competitive context, Return Mail allows you to optimize your service, hence, to strengthen your customer relations.

19/05/2010 - The Belgian Post and its subsidiaries launch the SEPA Service Center

With the SEPA project - Single Euro Payments Area – the payment tools within the European Union were standardized these last couple of years.
After our shift to the euro and the use of European credit transfer forms, we are now confronted with the introduction of a new European direct debit system.
An important change lies in the fact that customers no longer need to send the direct debit demand to their bank, but directly to the companies. As from now, enterprises handle the activation and the management of the direct debits of their customers.

That’s why the Belgian Post and its subsidiaries launched the SEPA Service Center. This solution helps companies to manage efficiently the direct debits of their customers following the SEPA standards, and covers the production and mailing of personalized direct debits, the reception and digitalization of signed direct debits and the archiving on paper and through a secured online platform where companies and their customers can consult and manage their mandates.

The Belgian Post and speos are at your service for all your needs regarding paper and electronic documents.

02/03/2010 - Ecodynamic Label: A second star for speos
speos just obtained its 2nd star as an eco-dynamic company of the Brussels Region.
Obtaining this label fits perfectly within speos’ strategy for the environment.
Aware of these issues, speos undertakes since several years numerous similar actions for this purpose.
Recently our carbon balance allowed us to measure our impact on the environment and the necessary improvements to implement.
A lot of other actions will be organized to pursuit our politics on continuous improvement for our environment.
28/10/2009 - European Transpromo Summit
As announced, on 6 and 7 October the first European Transpromo Summit took place.
The booth of the Belgian Post was appreciated by the public, as was the debate « Planning for Transpromo Success » in which Jean-Paul Serneels, Sales & Marketing Director of speos, participated.
Some very interesting speakers exchanged their point of views during the two days. In short, the European Transpromo Summit was a real success!

16/10/2009 - FSC Certificate
Since October 15th 2009, speos is FSC-certified.

FSC stands for Forest Stewardship Council. FSC paper is produced from certified wood, coming from a forest that is responsibly managed. The paper has to fulfil three conditions; take the environment into account, respect social rights and be economically viable.

The system allows to control the journey from the certified wood until the fabrication of the final product, paper. To be FSC labelled the chain cannot be interrupted. speos advises all of its customers to work with FSC paper in order to not interrupt this green chain.
13/10/2009 - Article in « Document Manager »
This month of September, the Dutch magazine Document Manager, published an article about speos and its new activities in transpromo.

These last months, the interest in transpromo is increasing fast in Europe. Multiple companies send out administrative documents on a regular basis. This is seen as a necessary cost for the organisation. With transpromo this cost center can easily be transformed in a profit center by integrating marketingmessages in the administrative document.

08/09/2009 - ImprimVert
speos has an « ImprimVert » certification.

This label recognizes our actions to reduce the impact on the environment. speos respects certain criteria during its productions in order to prevent pollution. The ImprimVert tender is based on three criteria: the good management of dangerous waste, securing the stock of dangerous liquids en the non-use of toxic products.

Respecting these criteria is also part of actions to sensitize the personnel.

31/05/2009 - European Transpromo Summit: The Post platinum sponsor
Recently, The Post signed in to be platinum sponsor of the European Transpromo Summit, organized by InfoTrends and 4IT Group.

The Summit will focalise on strategies, techniques and tools to integrate marketing messages in the traditional transactional document in order to fulfil the customer’s needs.

The event takes places on October 6th and 7th 2009 in the Square Meeting Centre in Brussels and will contain sessions and presentations that highlight mainly the trends that determine today’s market.

08/05/2009 - speos covers Asia
speos is today, in cooperation with BPI (Belgian Post International), one of the most important players on the European market for production and distribution of administrative documents.
In order to follow the globalization of its customers, speos decided to extend its activities in Asia.

For this purpose, a partnership agreement has been closed with a local print service provider.

speos controls the total document flow and sends the documents with destination Asia to our partner for the print production. BPI coordinates the distribution of the postal flow to different destinations within Asia. Web presentment and electronic distribution of the documents are ensured by speos.

31/03/2009 - speos: More green than ever
A good environmental behaviour is part of the strategic axes of speos and is considered as a main concern of the company.

speos obtained the label ‘entreprise ecodynamique’ within the Brussels region in 2008. In 2009, speos pursues and intensifies these actions through different measures such as the use of electricity originating from 100% renewable sources and sensitization campaigns towards our personnel to invite them to take action. To do so, each month “Environmental Actions” are organised within the company on themes such as mobility, waste, energy…

Measurement indicators allow us to position ourselves on the principal axes such as energy, water, air, mobility and waste. Once we have drawn up a carbon balance, we will be able to measure our CO2 emission. Based on these results, speos will put in place the improvement processes in order to optimize our impact on the environment and to fight against global warming.

26/02/2009 - SEPA
Since its entry on January 28th 2008, the pay slip SEPA is in production at speos.
Several customers chose for a quick integration of this European pay slip in their billing process.
What exactly changes on this pay slip?

The new slip had a red colour (previously orange)

  • the memo date becomes the “requested execution date in the future”
  • The use of IBAN and BIC
  • the obligatory mention of the name of the beneficiary
  • the tear-off part for the client and the date of signature are dropped
  • the coordinates of the beneficiary are mentioned under those of the originator
Additionally to this European pay slip, as from the 1st of November 2009, Belgium will introduce the European direct debit. For more information you can consult the website of SEPA.

23/01/2009 - speos invests in full color
speos purchased 4 Kodak VL2000 high volume printers. These printers fulfil our needs of flexibility, quality, reliability and user friendliness for the impression of transactional documents. The advantages are multiple.

The data, logos and images are printed on white paper. This process avoids the purchase of pre-printed paper and stock is reduced tremendously.
The use of colour increases the readability of your document and allows you to highlight important messages.

With this acquisition, speos remains market leader and gives the opportunity to its customers to make use of this brand new technology…

12/12/2008 - ISO 9001 for Secumail
Secumail obtained the ISO 9001 certificate.

Reminder, Secumail’s mission consists of being a back-up site and an alternative for its customers.
Secumail disposes of a centre for printing and enveloping in order to guarantee, in case of major problems, the continuity of the production of their customers.

Obtaining this certificate is not a consequence, but a result of a quality system of which the goal is to put into place a process for continuous improvement of the quality of our achievements.

28/11/2008 - Eco-dynamic label
speos obtained the label of guarantee « Entreprise Ecodynamique de la Région Bruxelles-Capitale ».

The label « Eco-dynamic Company » is an official acknowledgement of the integration of a good environmental behaviour in our company. It rewards our dynamic attitude towards nature and progress in the domain of waste processing, rational use of energy, gestion of mobility of the personnel…

This reward fits completely within speos’ strategy and in particular in our programme put into place for the constant improvement of our environment.

21/10/2008 - Electronic invoicing
More and more enterprises choose to send their documents electronically.
Also Manpower and Integan recently started sending their invoices through the electronic path to their customers.

Indeed, speos who is already in charge of the printing and enveloping of their bills, also treats their electronic sendings through Zoomit and/or the certipost network.

All of the documents are centralised and archived at speos in a way that permits Manpower and Integan to easily research and consult their invoices.

17/09/2008 - SPF Finances
SPF Finances (Service Public Fédéral Finances) has, in the light of its BCP/DRP strategy, issued an RFQ in order to outsource the printing, enveloping and sending of documents to an external party in case the operations in their own printing site should be stopped due to unavailability or destruction of the site or in case of non-accessibility of the printing platform.

It concerns a daily volume of 250.000 envelopes and 600.000 documents being produced in an ADF environment (Automated Document Factory). Besides that, the organization and implementation for SPF Finances has to be foreseen according to the ITIL standard.

speos offers, in cooperation with PricewaterhouseCoopers, a solution to meet the expectations and requirements of SPF Finances within this mission. speos focuses on the organization and implementation while PWC is in charge of the operational part, like pedagogy and sensibilisation, the gestion of changes, training…

In order to realize these activities, the use of Secumail is required. Secumail is a subsidiary of speos and a unique back-up site that offers extra capacity for printing and enveloping of documents.

This solution guarantees the continuity of the printing activity of SPF Finances and fits perfectly into our Business Continuity Management strategy.

25/07/2008 - Trends Gazelles

Recently the nominations for the Trends Gazelles were announced.
Trends Gazelles is an initiative of Trends in cooperation with Ernst & Young, GIMV, ISS, KBC, Ultimate Makeover, Randstad, TNT Express and Volkswagen with support of the provinces and Canal Z.

200 companies per province (100 large, 75 medium and 25 small enterprises) were celebrated as Belgium’s fastest growing companies.
They symbolise competitive dealership and innovation, they have a positive influence on employment and act as a role model for many other companies.
The 7th of May 2008, speos was proud to accept this title in the category of “Large enterprises” amongst companies like Dexia, Coca Cola, Air Liquide, Danone, Facq, Accor, Carrefour, Volvo, Inbev Belgium, AstraZeneka and many others…

The 200 Gazelles from Brussels have the past 5 years jointly created not less than 10.648 jobs. Their global turnover grew from 23 billion euro to 49.2 billion euro.
Therefore they made an important contribution to the economical drive of the region of Brussels.

25/07/2008 - Satisfaction Survey RIZIV
Since July 2006, speos is in charge of the treatment and the follow up of the orders for medical certificates for all the medical care providers in Belgium.

In order to evaluate our services, a specialized and independent company organizes, 3 times a year, a satisfaction survey for our clients.

Different aspects of satisfaction are raised during the survey, like the ordering process, the delay and quality of delivery, the terms of payment, the call center…

After having reached scores of about 90% the past two years, we reached a record at the beginning of the year 2008: a global satisfaction of 97.3%, a very exceptional score!

This wonderful result has been obtained thanks to the continuous improvement of processes and the optimization of the system, in close collaboration with RIZIV. It testifies of great satisfaction obtained by clients, users of this service. Thank you for your confidence!

14/07/2007 - ISO 9001 for speos
speos has obtained the ISO 9001 certificate. This means a new milestone for quality control within the organization of speos.

That speos takes care of their customers is commonly known, but the fact that they work continuously on quality improvement has now been confirmed officially by gaining the ISO 9001 certificate. Even though this recognition is of utmost importance for speos, the objective to maintain quality as the engine within our company remains. Quality is an integrated part of our culture. This quality guarantees also a firm basis for a durable and qualitative customer relation and a high customer satisfaction!

'The International Organization for Standardization' , widely known as ISO, is an international standard-setting body composed of representatives from various national standards organizations. Founded in 1947, the organization promulgates world-wide industrial and commercial standards with the aim to simplify international trade in goods and services.

The ISO standard stimulates a company towards continuous improvement in order to deliver better quality performances.

01/06/2007 - PRINCE2 within speos
PRINCE2speos grows continuously and to keep up with this growth our management approach is evolving too. Therefore speos has introduced project management based on PRINCE2 methodology. PRINCE 2 is an internationally recognized generic `best practice' methodology that became popular and where every project manager must deal with in the future. PRINCE 2 focusses on the reason for being of the project and on managing risk. This methodology includes a project organization structure with clearly defined roles and dedicated tasks and responsibilities for all people concerned. Participation of the users in the decision-making and a clear assignment procedure of resources as a basis for go/no-go-moments are important elements of this methodology. PRINCE 2 promotes the feeling of overall control on the project, and this as well at both the constituent, the opdrachtnemer and management. PRINCE 2 is simply to modify towards own needs.

01/07/2006 - RIZIV: Order attestations online
The RIZIV ( Rijksinstituut voor ziekte-en invaliditeitsverzekering), gives the possibility towards care suppliers to order their getuigschriftenboekjes via the Internet. Within that process, speos looks after the production and sending of the testimonials. Formerly care providers - such as doctors or verzorgingsinstellingen - bought their getuigschriftenboekjes, collar forms and agreement counterfoils by means of the federal public authorities (FOD) finances. Because this process did not belong to the core business of the FOD, the government decided end 2005 to outsource this activity to RIZIV in order to manage the orders, to print and to distribute these getuigschriften. It concerns 150 millions testimonials per year or 750,000 per day. The largest part are personalized testimonials (with the name of the doctor) .

Cooperate with specialists

To smoothen the order process, RIZIV gave the procedure in concession to speos, a subsidiary company of De Post/La Poste. Within the framework of modernizing the process, it has been decided to make electronic ordering via Internet possible. The identification and access control of the doctors was taken care of by certipost.

Since 1 July 2006 medicins care suppliers can order there medical testimonials electronically via a common website of RIZIV and De Post/La Poste. To enable this, all medicines received an electronic Mycertipost account and a password. Logging on on My certipost is also possible via an electronic identity card. This guarantees that only official medicins can order medical testimonials.
